Edit & Manage Citations Dialog (Microsoft Word)

The Edit & Manage Citation dialog allows you to edit your citations including citations in footnotes.

Select the appropriate citation from the field list at the top of the dialog. The field list contains the following columns.

Citation: Displays the reference in the form author's last name, year, and record number. References are listed in alphabetical order. Group citations are sorted by first author of the citation. All references in the group citation are listed under the group citation. Use the Up and Down arrows to change the order of the citation among the citations of the group.

Count: Displays the number of times the reference is cited in the document.

Library: Displays the name of the library used for last formatting of the reference.

Note: Click a column heading to sort the references by that field.

Edit Reference Menu

The Edit Reference menu to the right of each reference in the list contains the following options.

Edit Reference: Highlight a reference, and then click this button to go directly to the Reference window where you can edit any of the fields in the reference.

Edit Library Reference: Works like the Edit Reference button. This option is not available for the Traveling Library.

Find Reference Updates: Highlight a reference and select this option. EndNote searches for and retrieves available field updates for the selected reference. If EndNote finds field updates, then EndNote opens and displays the Review Available Updates dialog in the EndNote application. You can update all fields or you can updates only empty fields. This feature works like the Find Full Updates feature.

Remove Citation: Use the Remove button to remove the highlighted citation from the list of citations.

Insert Citation: Use the Insert button to display the Find & Insert My References dialog and to add a citation within the same set of delimiters.

Update from My Library: Use this option to open the Find & Insert My References dialog where you can insert references.

Note: Use the Up and Down Arrows to change the order of display for final formatting.

Edit Citations Menu

Below the citation list, the Edit & Manage Citations dialog contains the following options.

Default Format: Select this option to display the citation and format it as defined by the currently selected output style.

Display as: Author (Year): Select this option to display both the author name and the year in the highlighted citation.

This feature does not apply when editing a citation in a footnote.

Exclude Author: Select this option to omit the author name from the highlighted citation.

Exclude Year: Select this option to omit the year from the highlighted citation.

Show Only in Bibliography: Select this to display the selected citation only in the bibliography, not in the body of the paper.

Prefix: Enter text to print immediately before the citation text (spaces are significant).

Suffix: Enter text to print immediately after the citation text (spaces are significant). You can enter page numbers if you know you always want to print pages numbers after the citation, and always with the same punctuation. Otherwise, use the Pages item described below.

Pages: Enter page numbers to print as part of the citation. To display and print, the Cited Pages field must be listed in the Citations Template or Footnotes Template of your Output Style. Putting page numbers here allows you to change, for each Output Style, both the placement of page numbers and their surrounding punctuation in the citation.

Reference Tab: Select this tab to review the details of a highlighted reference.

Note: At the bottom of the EndNote Edit & Manage Citations dialog is a Totals field that displays the number of group citations, in-text citations, and references.

Tools Menu

Update Citations & Bibliography: Use this option and EndNote uses the currently selected style to format citations and the bibliography.

Configure Bibliography: Use this dialog to change or verify various settings such as output styles, citation delimiters, layout, and instant formatting.

Export Traveling Library: Use this dialog to import references from a traveling library to an existing EndNote library or to a new library. If you select an existing library, EndNote removes duplicate references based on Duplicate preferences.
